What’s eIDAS certificate?

The civil code specifies that any type of electronic communication – email, sms, electronic documents, can be considered as legal evidence.

However, in order to unify and reinforce the feeling of trust and robustness of registered electronic communications, the eIDAS Regulation appears. This regulation reinforces the security of communications with an authentication seal for all communications that comply with it.

The main objective of this eIDAS certificate is to establish a common European basis for electronic and digital transactions. This base makes it possible to increase the trust and security of these transactions in the EU, promoting greater use of online services. Not only on the part of citizens, but also economic operators and public administration.

The eIDAS Regulation establishes that data sent and received with this electronic delivery certificate will not be denied legal effects.

What is an eIDAS-certified registered communication?

In a registered communication, there are 3 important parts:

  • The sender (the brand/business that sends the registered communication)
  • The recipient (who will receive the communication)
  • An eIDAS-certified communications service provider

In the case of a registered communication, the sending, delivery, content, attached documents, sender and recipient, and the date and time of communication are certified.

At E-goi Digital Solutions, we work in partnership with Multicert in issuing these eIDAS certificates in our Registered Messages service. We believe that recorded messages, whether by e-mail or SMS, may be dematerialized and consequently reduce the operating costs involved. However, at no stage of this digital process is the legal rigor inherent to these communications reduced.

When can I use a registered communication?

The usual communications registered fall within the E-goi Digital Solutions Registered Messages service, especially in the area of banking, services and insurance:

  • Personal data: Express consent to the processing of personal data or to modify and validate the change of personal data, such as changing the tax address;
  • Sending contracts: When sending contracts (including purchases of services, loans and insurance policies), a registered email or SMS can be used to confirm the communication was sent and the time it was sent.
  • Contract amendments or renewals: One of the most common uses is when a certain contract expires or ends. In the case of contractual changes or renewals of a service, for example, with the customer support service via telephone, the contract with the new proposal can then be sent via registered email.
  • Debt Notifications: Recorded communications can also be used to send debt or debit notifications. Take as an example the issue of an invoice that has not been paid. In these cases, the debt claim must be sent by registered communication, as a form of legal proof of dispatch, delivery and content. In the case of registered snail mail, the process can become time consuming and have high operating costs. However, with the availability of Registered Messages, the entire process can be dematerialized, with communications being sent in less than two seconds.
  • Contract Addendums: Companies are often required to send critical communications to employees, including notices of leave, contracts or attachments for changes in working conditions, as well as layoffs and warnings. All these notifications can be done by registered email, saving time and speeding up the process.
  • Proof of Warranty: sent by irrefutable means to certify product’s warranty.

What is the difference from eIDAS certified communication?

In fact, there is no difference at an operational level. In our Registered Messages user guide, we explain in detail how this type of communication works.

The truth is that this type of communication does not imply an effort or change in an email or SMS to be sent. On the other hand, it makes it possible to store all the technical information relating to the sending of that communication, producing an eIDAS certificate, which unequivocally proves that the contents of the certificate have not been subsequently altered.

In the case of E-goi Registered Message, the sending is carried out by API or SMTP, with the client’s domain/sender, via email or SMS (via API), with secure access protocols that guarantee end-to-end encryption. .

In partnership with Multicert, E-goi Digital Solutions, as a reliable service provider, issues a certificate in compliance with the eIDAS Regulation with the complete technical report, valid for 12 years, which confirms the date and time of issuance.

Communicating with the legal rigor required by the European Union can be a simple process, like sending an SMS or email in just 2 seconds, with the E-goi guarantee.
